AP & Accounting Specialist

Remote

Job Description

About

This role sits right between a traditional bookkeeper and a staff accountant, owning expense reporting and accounts payable inside a high-performing accounting team. You'll run the Ramp platform day to day, keep vendor payments and GL coding clean across multiple dimensions, and provide light-touch support to the accounting team around month-end. The bar is high, expectations are clear, and the support behind you is real, so you can focus on being rock-solid on the transactional side of AP while staying comfortable with the fundamentals of accrual accounting and reconciliations.

This is a dedicated, full-time placement designed for meaningful impact, stability, and professional growth in accounting operations, not freelance or short-term work. You'll have room to deepen your craft, take real ownership of AP and Ramp, and grow alongside a team that invests in your success.

Responsibilities

  • Own the day-to-day accounts payable cycle: invoice intake, GL coding, approval routing, and timely vendor payments via Ramp, keeping AP clean, timely, and reconciled at month-end.

  • Manage and optimize the Ramp platform for both credit card and accounts payable functions, including coding, classifying, routing, and mapping configurations, so employees stay supported and unblocked.

  • Code and classify expenses according to appropriate GL accounts and dimensions, including across multiple lines of business and classes where applicable, keeping coding consistent, policy-compliant, and audit-ready.

  • Review and approve expense reports in accordance with company policies and accounting requirements.

  • Support employees with questions on expense reporting and Ramp platform usage, serving as the go-to resource for AP-related issues.

  • Serve as the primary point of contact for vendors on payment status, coding questions, and general AP matters, providing proactive, clear communication so questions are answered before they have to be asked.

  • Manage the vendor lifecycle: setup, W-9 and payment detail collection and maintenance, periodic Ramp profile reviews, and offboarding.

  • Monitor bills and payment schedules to ensure timely processing and optimal cash flow, and investigate and resolve payment discrepancies and aged items.

  • Implement automation for recurring transactions to improve efficiency and accuracy.

  • Assist with collecting and organizing vendor tax documentation (W-9s, 1099 classification) to support year-end 1099 filing in Ramp.

  • Collaborate with the accounting team on general ledger maintenance and financial reporting.

  • Assist with month-end close tasks directly tied to AP and Ramp: accrual entries, aging review, and account reconciliations, delivered accurately and on time even though full close ownership sits elsewhere.

  • Maintain organized supporting documentation for audit and compliance purposes.

  • Provide accounting support to the Accounting Manager and Senior Accountant on special projects as needed.

Qualifications

  • 3+ years of experience in accounts payable, expense management, or accounting (must-have).

  • Working familiarity with core accounting concepts such as accruals, reconciliations, and month-end basics; you don't need to own the close, but you should understand it (must-have).

  • Proficiency with QuickBooks Online (must-have).

  • Excellent attention to detail with the ability to identify and resolve discrepancies (must-have).

  • Confident communicator, comfortable reaching out to vendors and internal stakeholders without being prompted (must-have).

  • Proficiency with the Ramp platform, including coding, classifying, routing, and mapping functions, preferred.

  • Comfort using AI tools (e.g., Claude) to work more efficiently, preferred.

  • Exposure to Rillet or a similar ERP, preferred.

  • Experience with subscription management and revenue recognition, preferred.

  • Bachelor's degree in Accounting, Finance, Business, or a related field, preferred.
