This role exists to be the friendly, dependable voice customers rely on when they need answers, reassurance, or resolution. The Appointment Setter, Customer Care sits inside the customer care team, fielding inquiries across phone, email, and chat, coordinating with the Customer Care Supervisor on escalations, and keeping records accurate so the wider operation runs smoothly. The impact is direct: every conversation shapes how customers feel about their installation, their warranty, and the service behind it.

This is dedicated, full-time work designed for meaningful impact, stability, and professional growth. You will own a defined book of customer interactions, build real expertise in service operations, and grow alongside a team that values consistency, care, and follow-through.

Responsibilities

  • Handle customer inquiries and complaints with professionalism, gathering the details needed to resolve issues or escalate them to the Customer Care Supervisor.
  • Answer, document, and resolve incoming and outgoing calls, emails, and chats from the Customer Service Line.
  • Input and update customer records in SPOT, keeping data accurate and complete.
  • Contact customers after installation to review warranty information and conduct customer satisfaction surveys.
  • Manage your daily queue end to end: prioritize follow-ups, track open items to completion, and keep the Supervisor informed on statuses.
  • Use AI tools thoughtfully to draft responses, summarize interactions, and speed up documentation without losing the human tone customers expect.
  • Take on other duties as assigned by the Customer Care Supervisor.

Qualifications

  • High school diploma or general education degree (GED), plus one to two years of related experience and training, or an equivalent combination of education and experience (must-have).
  • Prior experience in customer service management (must-have).
  • Strong written and verbal English communication, with the ability to read and comprehend instructions, correspondence, and memos, and to write clear letters and documents (must-have).
  • Comfort with computer workstations and peripheral equipment, including database, spreadsheet, email, and word processing software (must-have).
  • Solid basic math skills: add, subtract, multiply, and divide across units of measure, including basic algebraic and geometric calculations.
  • Sound business judgment when handling problems with a few concrete variables, and the adaptability to adjust as circumstances change.
  • Organized follow-up habits: consistently tracks task status and drives items to completion.
  • Dependable attendance and punctuality, with a professional, respectful approach to teammates and customers.
  • Proofreads own work and monitors quality to ensure accuracy and thoroughness.
