This role exists to keep windows and doors installation projects moving from signed contract to completed job without friction. The Production Specialist plugs into the customer care team, working alongside the Customer Care Manager, installers, and partner stores like Lowes and IST to confirm every contract reflects the true scope, materials, and quantities before work begins. The impact is direct: accurate contracts mean installers show up prepared, customers get what they paid for, and the company recovers funds or materials whenever something is off.

Responsibilities
- Review and confirm accuracy of windows and doors installation labor contracts so they reflect the scope and quantities of work required per estimates.
- Verify quantities and suitability of all windows and doors materials sold for installations, checking specifications and measurements before jobs are dispatched.
- Notate installer work orders with job site conditions and customer responsibilities using database management systems.
- Manage PC Assistant Needed flags, coordinating with team members to resolve issues promptly.
- Coordinate with the Customer Care Manager to determine workflow requirements and prioritize daily tasks effectively.
- Identify and log exceptions, including money and materials, within the SPOT system, and contact Lowes and IST to collect missing funds.
- Contact stores or IST for rebilling or refunds when labor contracts are incorrect or require modifications for windows and doors projects.
- Follow up on task statuses and drive assigned responsibilities to completion using organized tracking systems.
- Own your queue of contracts end to end, from initial review through resolution of any exceptions.
Qualifications
- High school diploma or GED with 1-2 years of related experience in customer service management or a similar role (must-have).
- Strong mathematical skills with the ability to perform basic algebraic and geometric calculations for measurements and quantities (must-have).
- Excellent reading comprehension and writing skills for reviewing contracts, handling correspondence, and preparing documentation (must-have).
- Effective oral and written communication skills in English for coordinating with stores, installers, and team members (must-have).
- High attention to detail and accuracy, with the ability to proofread work and maintain consistent quality standards (must-have).
- Computer proficiency across database, spreadsheet, email, and word processing software, with the ability to navigate multiple systems.
- Comfort using AI tools to speed up contract review, exception logging, and daily coordination.
- Strong problem-solving abilities, with the capability to identify and resolve issues in a timely manner.
- Minimal experience working with windows and doors preferred and highly valued for understanding product specifications.
