About

This role places an experienced Project Manager directly alongside a Director of Customer Support and Operations, serving as the operational backbone that keeps projects, meetings, and priorities on track. You will be embedded with a growth-stage business and leadership team that needs a technically strong, independent operator, someone who owns scope, timeline, and outcome, not just a task board. You'll be handed short-term projects with dense, detailed SOPs, the kind of work where a small missed detail early on turns into a much bigger problem downstream. You need to be someone who catches that before it happens, not after. Ongoing coaching, clear standards, and a dedicated Success Manager stand behind you so you can focus on doing excellent work.

This is a dedicated, full-time role designed for meaningful impact, stability, and professional growth as a project manager. Speed matters here, but not at the expense of accuracy. The projects are short and move fast; the standard for quality does not flex to match, and you'll be expected to think in first principles, understanding the reasoning behind a process well enough to know when it's working, when it's breaking down, and when a step doesn't actually serve its purpose.

Responsibilities

  • Call management and knowledge capture: Attend all key calls (team syncs, ELT updates, cross-functional meetings, member-facing sessions); prepare structured agendas in advance by pulling from open project tasks, recent discussions, and pending decisions; capture call transcripts and process them into knowledge management systems, organizing insights, decisions, and action items so they become searchable, referenceable institutional knowledge; distribute post-call summaries with clear owners, deadlines, and next steps within 24 hours; flag unresolved items or stalled decisions and escalate proactively.
  • Project tracking and workflow management: Own and maintain Asana as the central project management hub for all workstreams, ensuring boards, tasks, and timelines are accurate and up to date; build and refine project tracking workflows that give the team and leadership real-time visibility into progress; run weekly project management hygiene, clearing stale tasks, updating statuses, and confirming owners and due dates; create and maintain dashboards that surface what matters: blockers, upcoming deadlines, workstream health; onboard new team members into project workflows and enforce consistent usage across the team.
  • Accountability and risk management: Monitor action items, follow up on deliverables, identify risks early, and ensure projects stay on schedule through proactive accountability rather than after-the-fact reporting.
  • Leadership reporting and cadence management: Own the reporting cadence to leadership (biweekly updates, status memos, ad hoc briefs); proactively remind and prepare leadership ahead of reporting deadlines, drafting templates, pulling relevant data, and flagging items that need attention; compile and format updates from across the team into cohesive leadership-ready documents; track commitments made to leadership and ensure follow-through.
  • Idea and discussion organization: Capture and organize all ideas, brainstorms, and strategic discussions that happen across calls, Slack, and ad hoc conversations; maintain a structured idea backlog, categorized, prioritized, and linked to relevant context; feed organized discussion threads and decision logs into knowledge management systems (including Claude Cowork where useful) so the team has full context on strategic direction; surface recurring themes or unresolved strategic questions to leadership for decision-making.
  • Process development and operational excellence: Identify operational gaps and build lightweight SOPs that reduce friction and eliminate single points of failure; develop repeatable templates for agendas, meeting notes, status reports, and project briefs; continuously improve how the team uses project management, knowledge management, and productivity tools as an integrated operating system; cross-train team members on key processes to ensure continuity.
  • Cross-team coordination: Coordinate across teams, organize strategic discussions, surface unresolved issues, and ensure alignment on priorities and execution.

Qualifications

  • 3+ years in a dedicated Project Manager role, not an EA, coordinator, or adjacent generalist role, ideally in a fast-moving startup, SaaS, or portfolio/network business (must-have)
  • Proven experience actually running projects, owning scope, timeline, and outcome, not just updating a board someone else built (must-have)
  • Highly detail-oriented by default, with a track record of working inside dense, technical, or detail-heavy SOPs where small mistakes are costly (must-have)
  • First-principles thinker: you ask why a process works the way it does, not just what step comes next, and you can tell when a step is being followed for the wrong reasons (must-have)
  • Demonstrated ability to deliver short-term projects quickly, comfortable with compressed timelines and shifting priorities without letting quality slip (must-have)
  • Proficiency with HubSpot, Asana, and Google Suite; able to pick up existing systems and work cleanly inside them from day one (must-have)
  • Comfortable operating inside an established SOP, while confident enough to flag or improve it when it doesn't hold up (must-have)
  • Strong written communication: concise, clear status updates that give a decision-maker exactly what they need (must-have)
  • Self-directed and thrives with minimal hand-holding (must-have)
  • Experience with Claude or similar AI tools for structuring meeting insights and knowledge management preferred
