This role sits inside a busy commercial real estate practice that helps business owners buy, sell, and lease the spaces they run their companies from: storefronts, warehouses, and offices. You will support one high-producing agent, keeping transactions, marketing, research, and client communication organized so deals close on time and nothing gets missed.

Responsibilities
- Transaction coordination: Move deals from listing to closing, tracking timelines, contingencies, and compliance documents. Prepare LOIs, PSAs, and lease paperwork. Coordinate with escrow, title, lenders, and attorneys, and keep clean digital files for every transaction.
- CRM and database: Keep RealNex and KW Command current and accurate. Tag contacts correctly, track prospects and active deals, and support pipeline reporting.
- Research: Run property searches for buyer and tenant clients using commercial platforms. Help prepare Broker Opinions of Value and compile lease and sales comparables.
- Marketing and listings: Coordinate marketing campaigns and email sends. Help build offering memorandums, flyers, and presentations. Support social media scheduling and keep listings accurate across platforms.
- Operations: Manage the agent's calendar and meetings, track deadlines and recurring tasks, organize files in Google Drive, and coordinate outside vendors.
- Expect a proactive week that mixes recurring workflows with ad-hoc requests: you might track a closing deadline in the morning, pull property comps in the afternoon, and update the CRM before logging off.
- Use AI tools to speed up research, drafting, and daily work.
Qualifications
- 3 or more years in administrative or operations work (must-have).
- Experience supporting a US-based real estate agent (must-have).
- Real, verifiable commercial real estate experience directly supporting a commercial broker, not just general commercial exposure (must-have). You should know the difference between property types (industrial, office, retail, flex, mixed-use), understand landlord rep vs. tenant rep, and know what a lease comp actually means: active listings used for comparison purposes, not closed transactions.
- Hands-on experience managing a CRM (must-have).
- Proven experience using AI for automations, research, drafting, and workflows (must-have). This is a hard requirement, not a nice-to-have.
- Strong organization, time management, and written communication (must-have).
- Close attention to detail and the ability to run several projects at once (must-have).
- Comfort working independently with light supervision (must-have).
- Transaction coordination experience preferred. Full-cycle deal experience is the target; if not full-cycle, some hands-on deal experience in leasing or sales is expected, not just back-end document organization.
- Firsthand experience preparing a BOV or offering memorandum strongly preferred. You should be able to describe deliverables you built, not just recognize the terms.
- Familiarity with commercial real estate data platforms preferred.

- Commercial real estate platforms: Crexi, CoStar, LoopNet (must-have), plus Moody's Catylist and Brevitas.
- CRM and transaction tools: RealNex (must-have), KW Command, and AIR CRE forms (must-have).
- Prospecting and mapping: Terrakotta and BatchGeo.
- Collaboration and files: Zoom, Slack, and Google Drive (must-have).
You do not need to know all of these on day one, but you should be able to learn new software quickly.
